Bid and Proposal Coordinator

This is a new role opportunity to step into a Bid and Proposal Coordinator position, to assist with end-to-end coordination of our bid and proposal activities within the national Sales Operations Team at Kinetic IT!

Based at either our Melbourne or Perth office - We can certainly offer hybrid working flexibility in this permanent role, with 3 days in office and opportunity to work from home.

This role is crucial in ensuring that all responses are planned, tracked, and delivered to the highest quality, in full compliance with customer requirements. You'll be there to ensure a smooth and efficient proposal process across multiple stakeholders. This role involves a variety of key tasks, making sure bids are submitted on time with the right content and in the right format.

An overview of some day-to-day activities includes:

  • Create bid response schedules, coordinate bid meetings, and establish clear timelines and milestones for all contributors.
  • Ensure proposals meet all customer compliance requirements and go through the correct internal approvals (commercial, legal, executive).
  • Track and follow up on inputs from writers, subject matter experts (SMEs), sales leads, and reviewers to keep the process on schedule.
  • To format, package, and submit completed proposals in the required format, such as through an online portal.
  • Manage post-submission tasks, including coordinating debriefs and lessons-learned sessions, while also maintaining detailed records of bids, deadlines, and metrics.

What you’ll bring to the table:

  • Experience in proposal, tender, bid writing or technical writing in a B2B or government contracting environment.
  • Familiarity with government RFT/RFP requirements and ICT solutioning frameworks.
  • Proven ability to manage complex, multi-input workflows against fixed deadlines.
  • Exceptional grammar, clarity, structure, and persuasive writing capability.
  • Attention to detail and time management.
